Who we are
Chess Match Manager is run by Norton Canes Chess Club ("the club", "we") to organise league chess: fixtures, team selection, availability and results. It is available as this website and as a mobile app. The club is the data controller. Contact: joehardy@nortoncaneschessclub.co.uk.
What we collect and why
- Account details — your name, email address and (optionally) mobile number, plus the identifier from any sign-in provider you link (Google, Microsoft, Apple, or an email & password). Used to sign you in and contact you about matches.
- Chess activity — the clubs and teams you belong to, match registrations, availability responses, board results, and your public ECF rating code, ratings and rating history (imported from the English Chess Federation's public rating system). Used to run the league: selection, standings and records.
- Junior players — a junior's account holds no contact details; all communication goes to their named guardian.
- Notifications — if you enable them, we store the delivery details each channel needs: your email address, mobile number for SMS, and a push token for each mobile device you register. You can turn each channel off in your account preferences at any time.
- Technical — a session cookie (essential, sign-in only; no advertising or analytics cookies) and standard server logs kept briefly for security and troubleshooting.
Who processes it
Data is hosted on the club's own server in the EU (IONOS). Emails and SMS are delivered by Brevo; mobile push notifications are delivered by Google Firebase Cloud Messaging (the push token and the notification text pass through Google to reach your device). Sign-in via Google, Microsoft or Apple involves those providers confirming your identity to us. We do not sell or share your data for marketing.
How long we keep it
For as long as you hold an account. League records (fixtures and board results) are kept as the club's historical record; if you delete your account your name is removed from them.
Your rights and deleting your account
You can view and correct your details on your account page, and you can delete your account yourself at any time — on this site under My account → Delete account, or in the mobile app under Account → Delete account. Deletion permanently removes your sign-ins, contact details, registrations, availability and rating history; completed board results are kept without your name. Under UK GDPR you also have the rights of access, rectification, erasure and objection — contact the address above, or complain to the ICO (ico.org.uk).
